2. Eligibility
South Georgia College provides eligible employees with paid vacation time (annual leave) to provide opportunities for rest, relaxation and personal pursuits. Employees serving on a provisional appointment earn vacation, but are not entitled to take such time until the expiration of their first six months of service, unless their immediate Supervisor recommends that the leave be granted.
All regular employees who work half time (twenty hours per week or more) will earn and accrue annual leave.
3. Rate of AccrualTemporary employees and regular employees working less than half-time do not earn or accrue annual leave.
Annual leave (vacation) will accrue with length of service as shown below:
0-5 years - 10 hours per month
5-10 years - 12 hours per month
10+ years - 14 hours per month
Individuals employed in sponsored positions (funded) by an outside agency will earn vacation leave at the rate specified by the sponsoring agency.
Employees who work half-time, but less than full-time, will earn vacation time at a rate equivalent to their percentage of work commitment.
There is no limit to the amount of vacation time that can be accrued during any year. However, the maximum amount of vacation time that can be carried over into the next calendar year is 360 hours (45 days). On December 31 of each year, any vacation time in excess of 360 hours will be forfeited.
No vacation time will be accrued by employees on leave without pay, or employees who are not working because of a layoff.
4. Using Vacation LeaveAnnual leave is accrued at the end of each month.
To take vacation leave, employees should make their requests thirty calendar days in advance. Supervisors will review requests based on a number of factors, including operational needs and staffing requirements. The appropriate supervisor must approve all vacation leave in advance.
For biweekly Staff employees, used vacation leave will be reported on biweekly timesheets. For monthly Professional/Administrative Staff, used vacation leave must be reported on the Employee Absence and Leave Form.
Employees will be paid for vacation leave at their regular rate of pay. It will not include overtime.
If a holiday falls within an employee's scheduled vacation leave, the holiday will not be charged against the employee's vacation leave.
5. Terminating EmployeesFor sponsored employees, vacation leave must be taken during the course of employment unless there is adequate funding in the grant or other non-state income source to cover payment of accrued vacation leave balance at date of termination. The College does not accept financial liability in such cases.
When employees terminate, they will be paid in a lump sum for any unused vacation at their normal hourly rate, up to a maximum of 360 hours. Any vacation leave accrued in excess of 360 hours will be forfeited at termination.
Employees who know they are going to terminate may be encouraged to use all of their accrued vacation leave before termination.
Employees will not accrue vacation leave after their last day worked. Employees terminating employment before the 15th of the month will not accrue annual leave for the month in which they terminate.
