C.   Processing New/Returning Personnel

            1.   Policy and Procedure

The Supervisor is responsible for final selection of all employees within the department or administrative unit. After making a decision to fill the position, the Supervisor should complete an Affirmative Action Checklist and return it to the Affirmative Action Officer. Copies of all applications and information pertaining to applicants should be returned to the Human Resources Office. The Candidate Selection Form should be completed and returned to the Human Resources Office as soon as a candidate has been selected and has verbally accepted the position.

            2.   Conditions of Employment

The Human Resources Director will prepare a letter of appointment for the candidate. The Human Resources Office must make the official offer of employment to any candidate before the candidate can be assigned to a job. The Human Resources Director will set up an appointment to further process his or her permanent personnel records, confirm beginning salary, and discuss fringe benefits.

The following are required of all new employees and must be completed immediately after employment is secured:

  •  The State Security Questionnaire/Loyalty Oath must be completed for all persons employed for 30 or more days. This form will be prepared and filed appropriately at the institution.
  •  Federal and Georgia withholding tax forms must be completed.
  •  Application for membership in the Teachers Retirement System, Optional Retirement Plan or Georgia Defined Contribution Plan must be completed. Employment status will determine which retirement plan the employee is eligible for.
  •  Employment Eligibility Verification (I-9 form).
  •  Drug Free Workplace acknowledgement form.
  •  Right-to-Know Form and online training.
  •  Sexual Harassment Policy and viewing of video.
  •  Acknowledgement of coverage under provisions of the Workers Compensation Act and reporting procedures for a claim.
  •  Acknowledgement of the classified handbook. The employee is responsible for reviewing and familiarizing themselves with the contents of the policy manual.
  •  Other forms as deemed necessary to confirm that information was issued to the employee.
  •             3.   Identification Cards

    Identification cards are available from the Enrollment Services Office for the employee and their immediate family members. Immediate family members shall include a spouse, dependent children under the age of 2l living with the employee, and a dependent father and/or mother living with the employee. The identification card may be used for admission to campus facilities and activities. An employee may open a declining balance account (D.B.A.) at the Cashier's Office in increments of $25.00 for use in the college cafeteria. Stolen, lost, malfunctioning, or damaged cards will be replaced once free of charge. A $10.00 fee will be charged for subsequent cards.

                4.   Vehicle License Plates

    All employees are required to have Georgia license plates on their automobiles. New employees must purchase these plates immediately upon securing employment.

                5.   Vehicle Registration

    All employees and students are required to register motor vehicles that are parked on campus. Faculty and staff members will register their motor vehicles with the campus Public Safety Office. Upon registration of vehicle, the owner will furnish a description of the vehicle and the state license number. The owner is required to have liability insurance coverage, which will be indicated on the registration by the name of the insurance company.
