Working Title:          Administrative Assistant

Job Classification:    Office/Clerical

FLSA Exemption:     Non-Exempt

Department:             Physical Plant and Public Safety

 

Purpose:

Provide administrative and office management support for the Department of Physical Plant and Public Safety.

 

Nature of Work:

Essential Functions

·        Assists the Director with a variety of administrative matters.

·        Develops internal operating procedures.

·        Assists in the formulation of the departmental budget; maintains departmental budget; provides information and periodic status reports of the budget.

·        Manages ongoing activities such as preparation of scheduled reports, contract formation, departmental requisitions, monitor time sheets and general paperwork flow.

·        Maintains confidential records.

·        Maintains a high profile and cordial working relationship with all campus employees, outside agencies and personnel, maintaining a professional manner.

·        General administrative and secretarial duties

·        Reports to work as scheduled by immediate supervisor. 

·        Performs routine clerical functions as related to position.

·        Performs other job related duties as assigned by the supervisor.

 

Exceptional Functions

 

Required/Desired Knowledge, Abilities and Skills:

·        Strong interpersonal relations ability, excellent oral and written communication skills.                                                     

·        Must have background in finance and accounting and a good working knowledge of budget formulation and management.

·        Must have a working knowledge of various computer systems and software appropriate for the administrative management of the department.

·        Must function under a minimum of direct supervision.

 

Required/Desired Education, Experience and Necessary Qualifications:

·        Associate Degree in Business Administration or similar education.

·        Responsible administrative experience, of which at least one year in an authoritative and/or supervisory position.

 

Supervision:

 

The Administrative Assistant reports to the Manager of Support Services.
