Job Description
Working Title: Assistant to the Athletic Director
Job Classification: Administrative
FLSA Exemption: Administrative
Department: Health, Physical Education, and Recreation
This is professional and administrative work within the Department of Health, Physical Education and Recreation. The Assistant works directly with the Athletic Director to ensure the athletic programs are in compliance with the rules and regulations that are applicable.
Assists the Athletic Director in determining athlete eligibility. Submits letters of intent and eligibility forms to NJCAA.
Prepares correspondence, memoranda, manuscripts, technical and administrative reports, and other materials.
Receives, reads and routes mail; composes some routine correspondence.
Provides necessary information; aids students and others in filling out forms, in registering for classes, and in other routine procedures; maintains appointment schedule; receives telephone calls and provides routine information, or directs calls to the appropriate persons.
Maintains pool & gym schedule, lifeguard schedule and coordinates same with Continuing Education.
Supervises the monitors for the gym, fitness room and pool areas.
Submits departmental requests for all purchases within the athletic department.
Maintains accident and insurance records on athletes and submits claim forms to the insurance company.
Prepares articles, minutes, quizzes, reports, tabulations, manuscripts, bulletins, forms, statements, and other documents from copy or rough draft; proofreads typed copy.
Maintains files for fiscal and academic records; gathers data from files and prepares reports of a routine nature; makes basic mathematical calculations and tabulations; prepares forms and routine letters relative to information contained in the files.
Operates various office machines.
Supervises student assistants.
Maintains departmental inventory supplies and records.
Reports to work as scheduled by immediate supervisor.
Performs other job-related duties as assigned by the Athletic Director.
Assists as needed with athletic events. This sometimes includes travel and overnight travel to attend and assist at athletic events.
Knowledge of intercollegiate athletics.
Knowledge of rules and regulations of athletic associations and conferences.
Ability to supervise staff and student workers.
Ability to make decisions and administer activities within the athletic department.
Knowledge of business English, spelling, punctuation, and arithmetic.
Considerable knowledge of modern office practice, procedures, and equipment.
Ability to establish and maintain effective working relationships with institution officials, administrators, and employees.
Ability to establish and maintain effective communication relationships with students and with the general public.
Knowledge and skill in the use of a typewriter and/or personal computer.
High school diploma required, Associate degree or technical degree in secretarial science preferred; experience in varied, complex office work required; or an equivalent combination of training and experience.
Supervision:
The Assistant to the Athletic Director reports to the Athletic Director.
