Administrative Assistant for Enrollment Services
Job Classification: Office/Clerical
FLSA Exemption: Non-Exempt
Department: Admissions
Purpose:
This position involves greeting students, answering phones and emails and entering data for the Office of Enrollment Services. Excellent customer service skills, telephone skills, accurate data entry and a high level of organization are requirements of this position. Good computer skills, people skills and the ability to work in a high pressure environment are required. The position will require some flexible work hours including some evenings and weekends, as needed.
Nature of Work:
Essential Functions
Advises prospective students, current students and the public regarding College admissions, required paperwork and other information
Responds to telephone, mail and electronic inquiries
Actively works to recruit all students who contact the office
Assists students in need of information or directions
Assists students, faculty and staff from the Valdosta and Waycross programs as well as high school joint enrollment students in addition to Douglas campus students
Processes and sorts departmental mail
Prepares bulk mailings
Prepares departmental requests and office deposits
Supervises work-study students
Assists with campus tours, recruitment events and retention events, as needed
Assists with the organization, planning and set up of special events
Performs routine clerical duties
Reports to work as scheduled by Director of Enrollment Services
Actively works with staff to cross-train in necessary areas including other student services offices
Performs other job-related duties as assigned by supervisor
Exceptional Functions
Required/Desired Knowledge, Abilities and Skills:
Thorough knowledge of modern office practices and procedures and of modern office equipment including computer, multi-line phone systems, copiers, etc
Basic skills in Microsoft Office Suite programs
A pleasant phone demeanor
Ability to multi-task and perform highly procedural work
Exceptional customer service skills in high-pressure environment
Ability to establish and maintain effective working relationships with institution officials, administrators, employees and the general public
Required/Desired Education, Experience and Necessary Qualifications:
Associates Degree in Business, Computer Applications, Education or related field
A minimum of two years experience in office environment
Or a combination of work and educational experience
Supervision:
The Enrollment Services Administrative Assistant reports to the Director
of Enrollment Services
