Working Title: Program Assistant

Purpose:
This is responsible office work assisting the Senior Continuing Education Coordinator.
Nature of Work:
Task
Answers/handles all incoming phone calls for Continuing Education.
Greets individuals in person or by telephone and refers individuals to proper person/department.
Provides information to the public concerning Continuing Education programs and the availability of campus facilities.
Coordinates the scheduling of facilities including room set-up, equipment needs, etc.
Assists with the coordination of CE workshops, seminars, short courses and events. Assists with the production of classroom materials.
Schedules, markets and coordinates summer kids’ camps including registering program/camp participants via phone, mail, or in person, locating instructors, preparing classroom materials and end of program certificates.
Maintains accurate financial records for all kids’ programs such as swimming camps and CE summer camps.
Prepares various interoffice forms, such as check/departmental requests.
Assists with the promotion of Continuing Education Short Course programs and workshops through local advertisement, such as newspapers and mailings.
Assist with packets for Elderhostel.
Performs clerical duties including general filing, word processing, spreadsheets, and database maintenance.
Assists with Exam Proctoring.
Processes community lap swim passes.
Maintains Continuing Education marketing list.
Distributes monthly reports of upcoming events/activities and faculty/staff birthdays.
Performs other duties and responsibilities as assigned/required by Supervisor.

Thorough knowledge of the rules, regulations and operating procedures of the divisions of Continuing Education and College Relations.
Ability to understand and follow complex oral and written instructions.
Ability to establish and maintain effective working relationships with other employees and with the public.
Ability to plan and organize departmental activities.
Required/Desired Education, Experience and Necessary Qualifications:
High school diploma required, Associate degree in Business or Computer preferred; one-two years work experience within an office environment; or any equivalent combination of training and experience.
Supervision:
The Program Assistant is supervised by the Senior Continuing Education Coordinator.
