Purpose:

This person performs a variety of administrative and recordkeeping functions in support of the College Relations office and the South Georgia College Foundation. The position collaborates with community and Foundation members, assists the Executive Director with college marketing and maintains foundation and alumni databases.  In addition, the work involves preparation of reports, coordinating and scheduling events. Responsibilities include assisting the Executive Director in the areas of fund-raising, public relations, public information, and alumni relations. Flexible schedule may be required to coordinate evening and weekend events. The incumbent reports to the Executive Director of College Relations and Continuing Education at the College. 

Nature of Work:

Essential Functions:

  • Assist the Executive Director in coordinating special events, such as lectures, fundraising campaigns and annual and major capital fund drives as well as other special projects as assigned.
  • Maintain official files of public information dissemination; maintains files on South Georgia College Foundation; and maintains other files associated with the College Relations office.
  • Responsible for coordinating and scheduling of SGC Foundation meetings & events. Maintains and prepares information regarding the SGC Foundation to be reported to the Board of Trustees.
  • Assists in the coordination of alumni reunions and other events for the Alumni Association.
  • Receipt, code, and enter donation information into database. Assists with the maintenance of database records which may include manipulating and extracting data to produce lists, reports, and statistical information. Generates and mails acknowledgement letters. Prepares donations for bank deposits.
  • Coordinates and updates scholarship applications and information. Maintain scholarship availability and funding.
  • Coordinates communications with various community members and foundation members.
  • Facilitates and expedites communication with various members of the public.
  • Provides information requested from the public and others who wish to receive scholarships or foundation information.
  • Maintain the Foundation donor database.
  • Assist in the preparation of mass mail outs.
  • Read incoming mail, compose answers to letters, and route mail to the proper officials when it does not require supervisor’s attention. Transcribe and type other correspondence, reports and documents.
  • Process and route various interoffice forms and requisitions; makes travel arrangements.
  • Complete projects independently in the Executive Director’s absence.
  • Perform other functions as directed by the Executive Director.

     Exceptional Functions

  • Attends South Georgia College sporting and cultural events occasionally.

  • Assists the Executive Director with the production of the alumni and college newsletters.

  • Assists the Executive Director with special events.

    Required/Desired Knowledge, Abilities and Skills:

  • Excellent writing skills and the ability to work under deadlines.

  • Knowledge of modern office procedures and equipment, such as personal computer, utilizing such programs as Desk Top Publishing, PageMaker, MS Office, and Pitney Bowes, electronic mail, photocopier, and also how to use digital and film cameras.                                                          

  • Ability to maintain complex records and to prepare reports from various source documents.   

  • Ability to establish and maintain effective working relationships with other employees and the public.

  • Ability to work after hours in order to cover South Georgia College events.

    Required/Desired Education, Experience and Necessary Qualifications:

  • Associate degree preferred; high school diploma required; two years working experience desired in public relations.
